Pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 (GDPR), where applicable.

1. Data Controller

The controller of personal data is:

A.P.S. Amateur Gridiron World Association A.S.D. (AGWA)

Registered office: Via Sassuolo III° Tronco 3793/6, 41048 Prignano sulla Secchia (MO), Italy.

Email for information and personal data protection requests: president@agwa.cloud

Website: https://www.agwa.cloud

2. Categories of Personal Data Collected

AGWA may collect the following data through the forms available on its website:

  • Full name.
  • Email address.
  • Country.
  • Name of the organization, association or institution represented.
  • Applicant’s role or position.
  • Content of messages submitted through the contact form.
  • Declarations and authorizations provided through the Charter of Formigine endorsement form.

The website may also process technical browsing data necessary for its operation and security.

3. Purposes and Legal Bases of Processing

Personal data is processed for the following purposes:

A. Management of Contact Requests

To respond to communications and requests submitted through the website’s CONTACT form.

Legal basis: taking steps at the request of the data subject prior to entering into a contract, where applicable, or legitimate interests in managing received communications.

B. Management of Endorsement Requests for the Charter of Formigine

To receive and verify endorsement requests, provide the official Charter, obtain explicit confirmation of endorsement and manage the private register of confirmed signatories.

The private register is accessible only to persons authorized by AGWA and also includes signatories who have not authorized publication of their personal data in the public International Register.

Management of endorsement is separate from any publication of personal data, which takes place only under the conditions described in Section 3.C.

Personal data collected through the Charter of Formigine endorsement form is not used to send newsletters, advertising messages or promotional communications. Communications from AGWA are limited to processing requests, confirming endorsements and activities strictly necessary for maintaining the relevant registers.

C. Publication in the International Register of Signatories

To publish on the AGWA website the signatory’s full name or the name of the organization represented, together with the country, only where specific authorization has been provided.

Legal basis: the data subject’s consent, where personal data is involved.

Authorization for publication is optional and may be withdrawn at any time without affecting the validity of the endorsement.

D. Website Operation and Security

To ensure the technical availability of the website, prevent unauthorized access and manage potential security issues.

Legal basis: the controller’s legitimate interests in securing its systems and, where applicable, compliance with legal obligations.

4. Methods of Processing

Data is processed using electronic and organizational measures designed to protect it against unauthorized access, loss, alteration or improper disclosure.

Access to personal data is restricted to persons authorized by AGWA for the activities concerned.

5. Recipients of Personal Data

Personal data may be processed by service providers supplying technical services necessary for website and email management.

The agwa.cloud website is hosted by Aruba.

The Charter of Formigine endorsement form is implemented using WordPress and WPForms Lite.

Data is not published or disclosed to third parties for commercial purposes merely because a form has been submitted.

Publication in the International Register takes place only within the limits of the specific authorization provided.

The website uses tools for image and performance optimization. Images may be converted into optimized formats through local processing on the server. Any additional external services involving the processing of visitors’ personal data will be identified in this notice where applicable.

6. Data Retention

AGWA applies the following retention criteria:

  • Unconfirmed endorsement requests: up to 12 months from receipt.
  • Confirmed endorsements: data is retained for the duration of the endorsement and subsequently only for the period necessary to comply with legal obligations or protect the rights of AGWA and the data subjects. AGWA periodically reviews the need for retention and deletes or anonymizes data when no longer necessary for the stated purposes.
  • Data published in the International Register: until authorization is withdrawn or the publication purpose ceases, subject to the technical time required for removal.
  • Contact requests: data received through the CONTACT form is retained for a maximum of 12 months from receipt, unless longer retention is necessary due to subsequent relationships or legal obligations.

7. Confirmation of Endorsement of the Charter of Formigine

Submitting the online form constitutes an endorsement request and does not automatically result in inclusion in the Register of Signatories.

AGWA contacts the applicant by email, provides the official Charter and requests explicit confirmation.

Endorsement is formalized only after confirmation and the necessary verification.

Endorsement of the Charter of Formigine is free and voluntary, does not constitute membership in AGWA and does not create contractual obligations. A signatory may withdraw their endorsement at any time by contacting president@agwa.cloud. AGWA will update the Register of Signatories and assess the deletion of personal data that is no longer necessary, subject to any applicable legal obligations.

8. Rights of Data Subjects

Under Articles 15–22 of the GDPR, where applicable and subject to the limits provided by law, data subjects may request:

  • Access to their personal data.
  • Rectification of inaccurate data.
  • Erasure of personal data.
  • Restriction of processing.
  • Data portability, where applicable.
  • Objection to processing, where applicable.
  • Withdrawal of consent where processing is based on consent.

Where processing is based on AGWA’s legitimate interests, the data subject has the right to object at any time on grounds relating to their particular situation, pursuant to Article 21 of the GDPR. AGWA will cease processing unless it demonstrates compelling legitimate grounds overriding the interests, rights and freedoms of the data subject, or where processing is necessary for the establishment, exercise or defence of legal claims.

Requests may be sent to president@agwa.cloud.

Data subjects also have the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali).

9. Cookies and Browsing Data

The agwa.cloud website may use technical cookies and process browsing data necessary for the operation and security of its pages.

Google Fonts used by the website are hosted locally on AGWA’s server.

The website may load technical resources from external providers. Any non-essential cookies will be subject to the information and consent requirements provided by applicable law.

The website uses the PHPSESSID session cookie, which supports the technical management of browsing sessions. The cookie is limited to the browser session. Where used exclusively for strictly necessary technical purposes, prior consent is not required.

10. Updates to This Privacy Notice

AGWA may update this notice to reflect legal, organizational or technical changes.

The updated version will be made available on the official website.
